Position Overview:
The World Bank is searching for a highly organized and dynamic individual to fill the role of Administrative Assistant in the Cameroon Country Office. This position requires efficiency in a fast-paced environment and reports directly to the Finance Officer, who oversees the technical and professional development and performance evaluations. The Administrative Assistant will be a vital member of the Administrative and Finance team, providing support to Country Office staff and frequently interacting with various institutional units, staff at different locations, government officials, consultants, and external organizations.
Roles & Responsibilities:
The responsibilities of the Administrative Assistant include, but are not limited to:
- Support the Finance Team with processing accounting, financial, procurement, and administrative transactions.
- Manage the reception and distribution of administrative, accounting, and financial documents.
- Ensure compliance with World Bank financial policies and procedures.
- Assist with purchases for the Country Office and follow up as needed.
- Handle routine tasks, such as receiving vendor invoices, verifying their completeness, and ensuring they meet VAT and Global Payment Provider (GPP) system requirements.
- Submit and track VAT and other exemption documents with tax authorities.
- Work with the Driver’s Coordinator to maintain and update administrative documents for WBG vehicles and monitor fuel and vehicle repair costs.
- Provide assistance to staff relocating to/from Yaoundé.
- Manage vendor registration and update bank account details in the GPP system.
- Master the GPP system to assist Country Office staff, internal and external clients, and vendors.
- Monitor service contracts to ensure timely and proper payments and close out contracts after verifying all terms and conditions are met.
- Review and manage any outstanding contracts or items to ensure timely settlements.
- Assist the Facilities Assistant in conducting annual physical counts of fixed assets and ensure new assets are tagged and recorded in SAP.
- Maintain an up-to-date asset inventory and ensure proper asset management.
- Perform additional tasks assigned by the Finance Officer related to the Country Office work program.
Selection Criteria:
Successful candidates should possess the following qualifications:
- Bachelor’s degree in Accounting, Finance, or Business Administration.
- Three years of relevant experience, preferably with international organizations, NGOs, or private sector organizations.
- Proficiency in advanced functions of standard computer applications (Word, Excel, PowerPoint) and strong knowledge of computerized accounting systems.
- Ability to execute diverse work procedures related to timely processing and production of outputs and administrative activities.
- Knowledge of organizational procedures, including records management and filing systems.
- Ability to use initiative, make appropriate linkages in work requirements, and anticipate next steps.
- Ability to follow team priorities in the absence of the team leader and respond to information requests.
- Committed team player with the ability to work effectively in a multicultural environment.
- Proficiency in French and working knowledge of English, including drafting routine correspondence and editing materials.
- Effective time management and organizational skills.
- Ability to produce high-quality work under pressure.
